Understanding the Pipeline
Your candidate pipeline has standard stages:
1. New / Applied
Candidates who have just applied or been added. Review their profiles and decide whether to proceed.
2. Screening
Candidates you're evaluating via video profiles, assessments, or initial review.
3. Interview
Candidates scheduled for or completed interviews.
4. Offer
Candidates receiving or negotiating job offers.
5. Hired
Successfully hired candidates moving to onboarding.
6. Archived
Candidates removed from active consideration.
Viewing Your Pipeline
Access your pipeline via Candidates > My Candidates. Toggle between:
- List view – Detailed candidate information
- Kanban view – Visual pipeline with drag-and-drop
- Table view – Spreadsheet-style with sorting
Managing Individual Candidates
Click any candidate to view their profile and take actions:
Move Stage
Advance or move candidates between stages as they progress.
Add Notes
Record observations, interview feedback, and next steps. Notes are visible to your team.
Schedule Interview
Book interview slots directly from the candidate profile.
Send Message
Communicate with candidates through the platform. Messages are tracked and recorded.
Request Documents
Ask for specific documents like certificates or references.
Start Immigration
Begin permit application process for selected candidates.
Bulk Actions
Select multiple candidates to:
- Move to a different stage
- Add to a shortlist
- Send bulk messages
- Export to spreadsheet
Shortlists
Organise candidates into shortlists for different purposes:
- By job role
- By interview round
- For hiring manager review
- Top choices
Create shortlists via Candidates > Shortlists > Create New.
Keeping Candidates Engaged
Long hiring processes lose good candidates. Best practices:
Communicate Timelines
Tell candidates what to expect and when. Update them if timelines change.
Regular Touchpoints
Even without news, brief updates show candidates they're valued.
Quick Decisions
Move candidates through stages promptly. Aim for decisions within 1-2 weeks per stage.
Provide Feedback
If rejecting, offer constructive feedback where possible.
Analytics
Track your pipeline health via Reports > Pipeline Analytics:
